Technology for Education and coaching

An institute should know which batch has room, who has paid, and what the next learner was told.

Direct answer

Coaching and training businesses outgrow chat threads when admissions, batch capacity and fees are each tracked somewhere else. Sunbeam builds the enquiry-to-batch path, the register of who is in which batch, and a simple way to share the current schedule or material. A full learning-management product is the right buy when the teaching itself needs that platform.

Where the work breaks

The problems we expect to hear.

The same admission question is answered all day

Batch, mode, timing, fees and what happens next are asked on calls, Instagram and walk-ins. Counsellors answer from memory, and two of them quote different start dates. The website, if it exists, lists courses and not the current batch.

Capacity lives in a sheet

Someone knows the batch is full. The person taking the enquiry does not, so a learner is promised a seat that is not there. Waitlists are a column that is easy to skip.

Fees and reminders are a separate chore

The accounts sheet and the batch sheet are different files. A learner can be attending and unpaid, or paid and not on the attendance list, and both facts are discovered late. Receipts are assembled by hand.

Materials and announcements are forwarded files

The current notes are whichever PDF was forwarded last. Parents ask for the schedule in the same chat as a fee query. There is no record of which version a batch received.

What we would build

A first system sized to the actual work.

  1. 01

An admission path with one answer

Programme, batch, mode and the next step are recorded the same way for every enquiry. The public page shows the batches that are actually open. Counsellors work from that list.

  2. 02

    A batch register

Capacity, enrolled, and waiting. Moving a learner into a batch is a recorded step, so the sheet and the group chat are not two different truths.

  3. 03

Fee status the counsellor can see

What is due, what has been received, and who should be reminded. This is not a full accounting system. It is the operational view that stops the academic team and the fee team working blind.

  4. 04

A place for the current schedule and materials

Learners or parents see the timetable, the current file and the announcements for their batch. The institute decides how much to show. Teaching videos can stay on a platform the faculty already likes.

How the system has to behave

Practical constraints, decided before the build.

  • A website that shows open batches and how to ask for a seat
  • Separate access for counsellors, faculty and learners
  • A path that can start with admissions even if teaching stays on another tool

Answers that sit behind this work

FAQ

Questions from Education and coaching teams.

Can you build software for a coaching institute?

Yes. Admissions, batch capacity, fee status and a learner view of the schedule are the usual first release. We do not insist on a learning-management system if the faculty already teaches somewhere that works.

Can parents see attendance and fees?

When the institute wants them to. The view is limited to that learner. Fee details and academic notes do not have to sit on the same screen.

We already use Zoom and a shared drive. Do we replace them?

Usually no. The new system is the register of who is enrolled and what they were sent. Live classes and heavy video can stay where they are.

What about student data?

Names, phone numbers and fee records are personal data, and learners may be minors, which raises the bar for who can see a record. We set access and retention with the institute before any parent is invited in.
