Services for businesses in Lucknow, India and beyond

Automation and AI for the workflow your team repeats, including agents and reception.

Automation and AI take a repeated workflow and make the next step happen without someone copying information between tools. Business automation is the rules, the triggers and the integrations. AI automation is a model doing a bounded language task inside that workflow. An AI agent is software that can take a sequence of steps toward a goal, using only the tools you have allowed.

Sunbeam builds these from Lucknow for companies in India and for clients in the Gulf, the United Kingdom and the United States. We name the workflow and the action that must stay with a person. A model is added only when the task is clearer with it than with an ordinary rule.

The business case

What better looks like.

  • A trigger and a next step that no longer depend on memory
  • A review queue where a person still owns the irreversible actions
  • A log of what ran, what was escalated, and what failed

What it is

Workflow automation, AI automation, agents and reception

Workflow automation is a trigger, a check and an effect. A form arrives, an owner is assigned, a record updates, a reminder goes out. No model is required. Most of the time an operations team saves comes from this layer: the copying and the forgotten follow-up. AI automation is the step a rule cannot quite express: classifying an email, drafting a reply from a known policy, or pulling structured fields from a document. The model proposes. A person, or a strict check, accepts anything that changes money, a customer promise, or a record other systems trust.

An AI agent is a loop that can choose among a small set of tools, such as searching a knowledge base or drafting a booking note, until it finishes or stops. It helps when the path branches. Each tool is named, and anything irreversible waits for a person. An AI receptionist answers a defined list of intents on one phone line or messaging channel: hours, location, a booking request, a simple status, or a message taken for a human. It escalates when the intent is outside the list or the caller asks for a person. It does not give legal, medical or financial advice.

Who it is for

Teams with a workflow they can describe on one page

This fits operations leaders, front desks, professional firms and sales teams whose follow-up is inconsistent. The ready client can show twenty real examples: emails, calls, rows, exceptions. Without examples, an agent is a demo. We shrink the work when the request is an assistant with access to everything, because that request has no stop condition. A useful first project is one workflow, one channel, and a human on the exceptions. If your CRM already has a reliable workflow engine, use it until you hit a wall it cannot cross.

  • The same follow-up is missed

Leads, renewals, invoices or appointment reminders. A rule and a message often solve this without a model.

  • Staff retype a document

AI automation can draft structured fields from a file, with a person confirming them before they hit the system of record.

  • The phone repeats five questions

A receptionist pilot can take those intents and hand over the rest, once hours, script and disclosure are agreed.

  • The path branches

An agent earns its place when the next step depends on what it finds, and the allowed tools are few.

How we work

Examples, boundaries, then a thin slice in production

We write the workflow as steps a new hire could follow, then list what the software may do alone and what requires a person. Sending a customer a message, changing a booking, or writing into a CRM sits in the second list unless you explicitly accept that risk for a low-stakes case. We evaluate on your examples before go-live and keep a log afterwards: the escalation, the edited draft, the automation that did not fire.

Call recording, consent and what an automated voice may say depend on where you operate. We design the fallback and the disclosure. Your advisers confirm the obligations. A pilot is not legal clearance.

  • What is the trigger?

A form, a missed call, a new row, a clock. If you cannot name the trigger, the workflow is not ready to automate.

  • What must a person still do?

Approvals, exceptions, and any promise that would be expensive to retract. The review queue should be lighter than the old process.

  • Which tools may it touch?

A calendar, a CRM read, a knowledge base. Each one is named. Access to "our systems" is not a tool list.

  • How will we know it failed?

A sample set before launch, and a log after. Success is the handled case and the clean hand-off.

Typical stack

Ordinary software around a narrow model call

When the workflow needs its own record of what happened, the durable part is still Next.js, Go, Postgres and AWS. Next.js is the review queue. Go runs the jobs and the integrations. Postgres stores the state, the approval and the evaluation notes. AWS hosts the workers and any files or recordings, under retention rules you set. Many automations never need that whole stack. A CRM's own workflow, or a small integration between two products with sound APIs, is the better build when it is reliable. The model is called for a single task. It is not where your business data lives.

  • Interface

    Next.js

Review queues, the transcripts staff are allowed to see, and the intents or message templates.

  • Services

    Go

Schedulers, webhooks and the worker that calls a model or a telephony provider, then writes a result you can audit.

  • Records

    Postgres

The case, the decision, and whether a human approved it. This remains if a model provider changes behaviour.

  • Operations

    AWS

Workers, storage and logs. Secrets stay in the environment, not in a prompt pasted into a chat window.

Timeline ranges

One workflow is a matter of weeks

The ranges assume we can see real examples and the systems involved have an API or an export. Telephony, CRM permissions and consent copy are the items that most often add a week. A wider programme is a sequence of these slices, chosen after the first one is actually used.

  • 2 to 5 weeks

    Workflow automation

One trigger, one system update, one notification, and a log that shows whether it ran. The right shape for reminders and routing.

  • 3 to 8 weeks

An AI agent for one workflow

A bounded goal, a short tool list, an evaluation set, and human approval on anything that writes to a customer or a system of record.

  • 4 to 8 weeks

    An AI receptionist pilot

One number or channel, a written intent list, business hours, escalation, and a review of the first real conversations.

  • 1 to 2 weeks

    An automation audit

For teams that already have inbox rules and CRM workflows. We map what fires, what double-fires, and what nobody owns.

Process

How an automation or an agent is introduced

We would rather ship a path you can leave on over a weekend than a demonstration that has to be watched. The steps follow that preference.

  • 01

    Collect the real work

Examples, including the messy third that does not match the policy. We agree what good means on those examples.

  • 02

    Separate rules from judgement

Anything deterministic becomes an ordinary automation. The model is reserved for the step that needs language.

  • 03

    Write the boundary

Tools, stop conditions, escalation, and the disclosure a caller or recipient should receive.

  • 04

Build the slice and the review queue

Staff can see what the system did and correct it. Those corrections shape the second week.

  • 05

Open it to a limited audience

One group, one number or one mailbox. We read the failures before we add volume.

  • 06

    Decide the next workflow

Widen, adjust or stop. Stopping is a sound outcome when the examples showed the task was not ready.

Who this is for

For teams ready to improve an important part of the business.

  • Operations and front desks with repeated questions
  • Teams whose follow-up goes quiet
  • Sponsors who can provide real examples of the task

Frequently asked questions

Useful questions before you begin.

Does automation require an AI model?

Often it does not. Routing, reminders and field updates are ordinary rules. A model earns a place when the step needs language, inside a workflow that already has a trigger and a stop.

Can a receptionist change a booking or take payment?

The default is to capture the request and hand it to a person. An unattended change is in the proposal only for a low-stakes case you have explicitly accepted.

What do you need before an agent project?

A set of real examples, the list of systems it may touch, and a named person who will review the first weeks.

Can you audit automations we already run?

Yes. A short audit can map what fires, what fires twice, and what nobody owns, then recommend the smallest repair.
