Technology for Clinics and healthcare

A clinic day runs better when reception and the clinician are looking at the same list.

Direct answer

Clinic booking software is worth building when calls, chat threads and a paper diary are each holding a different version of the day. Sunbeam builds the booking path, reminders, and the shared day list around how the practice already works. Clinical records and diagnosis stay in the system the doctors trust for that job.

Where the work breaks

The problems we expect to hear.

The same appointment exists in three places

A patient books by phone, another sends a voice note, and the website form lands in an inbox that is checked between patients. The diary, the front desk and the doctor can each be right about a different version of the afternoon.

No-shows and recalls depend on someone remembering

Follow-up visits, vaccination dates and dental reviews are valuable and easy to miss. A reminder that goes out only when the front desk has a quiet hour will miss the patients who most need it. The practice then spends the morning filling gaps that a message could have protected.

Patients arrive without the preparation the visit needs

Fasting, old reports, a referral, or a list of medicines is explained on the phone and forgotten. The slot is then used to discover that the visit cannot proceed. The instruction existed. It was not attached to the booking.

The website does not answer the question that blocks a booking

People want the doctor, the location, the kind of visit, what to bring, and how to ask for a time. A page of services without that path sends them back to the phone, which is the queue the clinic was trying to shorten.

What we would build

A first system sized to the actual work.

  1. 01

A booking path the front desk can trust

Patients request a time against real availability, or send a request the desk confirms when the diary cannot be opened to the public. Either way there is one list. The choice depends on how firmly the clinic can hold slots.

  2. 02

    Reminders and a recall list

A confirmation, a reminder, and a follow-up for the visits the practice already knows it should bring people back for. Messages go through the channel the clinic is willing to use, and the desk can see who has not confirmed.

  3. 03

One day list for reception and the room

Arrived, waiting, in consultation, done. The doctor is not asked to reconstruct the afternoon from slips. This is an operations list. It is not an electronic medical record and it does not store a diagnosis unless the practice explicitly wants that, with the access rules agreed first.

  4. 04

Pre-visit instructions attached to the booking

The note about reports, fasting or arrival time sits on the appointment, and the patient can read it again without calling. The website answers the same questions for people who have not booked yet.

How the system has to behave

Practical constraints, decided before the build.

  • A clinic website that names the doctors, the visits and how to ask for a time
  • Access split between front desk, clinicians and anyone handling reports
  • A clear line between scheduling operations and the clinical record system

Answers that sit behind this work

FAQ

Questions from Clinics and healthcare teams.

Can you build clinic booking software?

Yes. We build the request or live-booking flow, reminders, and the day list the front desk and clinicians share. We start from how slots are actually held today, including walk-ins.

Do you build electronic medical records?

We build the operational layer around appointments, instructions and follow-up. A clinical record system is a different product, with different duties. If the practice already has one, we connect the booking path to it where a sensible interface exists.

Can reminders go out by message?

When the clinic has an approved channel and a clear record of what the patient agreed to receive. We do not add a messaging tool that the desk cannot see or stop.

What about patient data?

Appointment data is still personal data. Who can open the day list, how long numbers are kept, and where the system is hosted are decisions we make with the practice before go-live. See the guide on client data and the DPDP Act.
