Technology for CA and accounting firms

A CA firm should be able to see, for every client and every period, what is in and what is still missing.

Direct answer

Filing season breaks down in the gap between the client and the working file, not inside the tax portal. Sunbeam builds the checklist, the engagement list and the place a client uploads what the firm asked for. The return, the audit opinion and the filing stay in the tools and portals the firm already uses for that professional work.

Where the work breaks

The problems we expect to hear.

Every filing season starts by hunting documents

GST workings, TDS files, bank statements and prior-year papers arrive as chat images, email threads and a pen drive in the office. Staff re-ask for items that were already sent to a different person. The deadline pressure is partly a filing problem and partly a collection problem.

Clients ask for a status the team cannot see

'Is my return filed?' is a fair question and an expensive interruption when the answer depends on who handled that entity. Multi-entity families make it worse: the wrong company is easy to open when everything is named by memory.

Due dates live in a sheet one person maintains

The statutory calendar is known. The firm's own calendar of who owns which client, which period, and which service — GST, TDS, income tax, audit, bookkeeping — is often a spreadsheet with a single editor. When that person is in a hearing, the list stops being current.

Working papers stay on a laptop

The prior-year file is the fastest way to start this year, and it is often on one machine or in a drive with no structure by client and year. A new joiner cannot tell which folder is the final set.

What we would build

A first system sized to the actual work.

  1. 01

An engagement list by client, entity and period

Each row is a service the firm has agreed to do: the entity, the period, the owner, the due date and the status. Partners can see what is waiting on the client and what is waiting on the firm, across the whole office.

  2. 02

A document request the client can complete

The firm sends the list it already uses for that service. The client uploads against each item, and the team sees what arrived, what was rejected, and what is still open. Reminders go out from that list, not from memory.

  3. 03

A file structure by client and year

Working papers live with the engagement, visible to the people on that job. This is not a replacement for the firm's audit software or tax computation tool. It is the place those inputs are collected and found again next year.

  4. 04

A status a client can check

For the questions the front office answers every day — received, in preparation, filed, waiting on you — a short status page or message cuts the interruptions. The firm decides which states are safe to show. Professional conclusions stay inside the firm.

How the system has to behave

Practical constraints, decided before the build.

  • Access limited to the team on that client, with a separation between entities
  • A retention rule for working papers agreed before the first filing season in the system
  • Connections to the tools the firm already uses, where those tools allow it

Answers that sit behind this work

FAQ

Questions from CA and accounting firms teams.

Can you build software for a CA firm in India?

Yes. The usual first system is an engagement tracker plus a client upload list for GST, TDS, tax and audit work. We do not replace the tax portal, the audit tool, or the partner's judgment.

Will clients stop sending documents in chat?

They will if the upload link is easier than finding the right person. A message can still be how the link is sent. The file itself should land on the engagement, not in a chat that disappears into a phone.

Can this cover more than one entity per family?

Yes. The record is the entity and the period, not a single name. That is the distinction that stops a document for one company being filed against another.

How do you treat client financial data?

As personal and often sensitive business data, with access, hosting and retention decided with the firm before any client is invited in. The professional duties remain the firm's. Our data-privacy guide sets out the practical questions.
